How much does AI implementation costfor a UK SME?

The short answer

It depends far less on "the AI" than on everything around it. For most SME projects the model itself is a small part of the bill. The cost sits in understanding the process, preparing information, connecting systems, testing with real data and supporting the result.

The main cost drivers

Discovery and scoping

Configuration or build

Bespoke software is priced by the effort to design, build and test it from scratch. Configurable products cost less because the core components — document handling, workflows, approvals, permissions, audit history — already exist and only need setting up for your business.

Integration

Connecting to your accounts package, CRM or operational systems is often the largest variable. Modern systems with published APIs are straightforward; older on-premise software, or data that only exists in spreadsheets, takes longer.

Data preparation

AI that answers from your documents needs those documents to be current, accessible and reasonably organised. If they aren't, tidying them up is part of the project.

AI usage charges

Language models are billed by the volume of text processed. For typical SME workloads this is usually a modest monthly cost, but it scales with volume and with the model chosen. Ask any provider how usage is charged and what happens if volumes grow.

Support and change

Processes, staff and suppliers change. Budget for support, hosting, monitoring and small improvements — not just the initial setup.

When conventional software is cheaper

AI is the wrong tool when a task is fully predictable. Moving approved data between systems, sending reminders, producing standard reports and enforcing approval rules are all cheaper, faster and more reliable with conventional automation.
