What we collect

When you use the free assessment: the website address or description you give us, anything you tell us about how your business runs, the conversation you have with our assistant, and the assessment we produce. Our team is told about each assessment so we can check its quality and help if you get in touch. To assess a website we read its publicly available pages, the same way a search engine does. We store a one-way scrambled version of your IP address so we can limit how many assessments one visitor can run; we can't turn it back into your IP address.

When you ask us to email you, or contact us: your name, email address, phone number if you give it, and what you tell us.

When you buy and use VRTL: account details, your organisation's details, order and billing records, and the information you and your team put into VRTL products.

When you arrive from a link: the referring site, campaign tags in the link, or the business adviser who introduced you. Advisers don't see your assessment, conversation or account unless you choose to share a summary with them, and you can withdraw that at any time from VRTL Cloud.

Why we use it

To run the assessment you asked for and show you the result (our legitimate interest in responding to your request). To send a report or reply you asked for, and follow up about it (legitimate interest). To provide products you've bought, take payment and keep accounts (performance of our contract, and legal obligation). To understand which pages and channels bring people to VRTL and improve the service (legitimate interest). To send you other updates, only if you tick the box to say that's fine (consent), and you can ask us to stop at any time.

We don't sell personal data, and we don't use it for advertising profiles.

AI and who we share it with

The free assessment and our assistant use AI models provided by OpenAI. The website content or description you submit, and your messages to the assistant, are sent to OpenAI to produce your assessment. Under OpenAI's business terms, data sent through their API isn't used to train their models. OpenAI is based in the United States, so this involves a transfer outside the UK, which we make under a data processing agreement with safeguards approved for UK transfers.

We also use service providers to host the platform, send email and take card payments (Stripe), and, if you accept analytics cookies, to measure visits (Google Analytics). Each acts on our instructions and only receives what it needs. We may share information where the law requires it.

Please don't put sensitive personal information, such as health details about individuals, into the chat. The assessment only needs to know about your business.

Cookies

We use a small number of first-party cookies that the site needs to work: one keeps your session (so your conversation and assessment are still there when you come back), and one protects forms against forgery. We also record how visitors arrived and use the site in our own system.

Only if you choose “Accept”, we also use Google Analytics, which sets cookies (named _ga) to tell us which pages people visit, where they came from, and whether they booked a call or bought something. Google processes this for us and may do so outside the UK under safeguards approved for UK transfers. We don't use advertising cookies. You can change your choice at any time with .

How long we keep it

Assessments and enquiries that don't lead to an order are kept for up to 24 months, then deleted. Customer accounts and the data in your products are kept while you're a customer and deleted after your contract ends, except order and billing records, which we keep for six years for tax purposes.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, object to how we use it, or ask us to stop marketing to you. Email hello@vrtl.co.uk and we'll respond within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
